Position Overview
Philbrook Museum of Art is seeking a variable hour Guest Experience Assistant. This position is responsible for offering and selling memberships and educating patrons on event activities and services in a manner that demonstrates the highest level of customer engagement. The GE Assistant assures that all visitors are welcomed, oriented, and educated regarding museum exhibits/services, and provides a rewarding enriching experience while at the museum.  Must assist with museum activities and events to maintain continuity of guest services and support.  This position is expected to work Friday evenings and weekends as needed. Philbrook Museum hours of operation are 9 a.m. to 5 p.m., Wednesday – Sunday and Friday 9 a.m. to 9 p.m.


  • Greet and orient guest arriving to the museum and gardens. Work as an ambassador of Philbrook welcoming and educating the public and providing exceptional customer service. Promote and sell museum memberships, events, and educational programming, etc. Problem-solve and monitor general front-of-house activity and provide timely communication of problems/concerns and report to appropriate Supervisor or Department.
  • Perform admissions transactions using specialized database/software system.  Support full-time staff with tracking and upkeep of attendance activity for grants and museum growth planning as assigned.
  • Perform opening and closing duties as required. Cash handling and basic accounting knowledge for cash reporting.
  • Work with full-time staff on resolving museum member and not-yet-member account questions and issues. Identify membership renewal needs and record updates in software. Assist with collection and upkeep of records for communication within the Museum to promote events, programming, etc. Proactively seek out and communicate guest-related information with co-workers, supervisors and other museum colleagues.
  • Perform receptionist duties including, but not limited to, answering and directing general phone inquiries, admissions and ticket sales, general customer service, RSVP’s for events, meeting coordination, outgoing/incoming deliveries, reporting and tracking, communication of general policies and procedures. May communicate public announcements. Use discretion when dealing with sensitive subjects or material.
  • Perform event support and other tasks as assigned for various museum events, activities, and programming.
  • Maintain an orderly work station and museum appearance.  Assure front-of-house areas are stocked with appropriate publications, literature, supplies, etc. Monitor routine maintenance and updates to equipment. Communicate to full-time staff when supplies are low.
  • Maintain prompt and reliable attendance to successfully perform job requirements

  • Working knowledge of Microsoft Office products


  • High School Diploma or equivalent
  • 6 months experience in office environment required
  • Experience in a retail sales environment is preferred
