The GIlcrease Museum/The University of Tulsa


The Accountant reports to the Chief Financial Officer/Chief Operation Officer of Gilcrease Museum and is responsible for overseeing the museum’s fiscal affairs, accounts receivable and payables, capital assets and human resources records.


  • Prepares the annual operating budget for Gilcrease Museum
  • Reviews Gilcrease bank activity statements and identify corresponding funds
  • Creates General Ledger posting file for retail store revenue and expenses
  • Prepares and provides current detailed and summary revenue and expense reports for all museum departments
  • Oversees batches in Tessitura and exporting financial statements for General Ledger posting, according to bank activity statements
  • Oversees credit cards, cash and check bank deposits for earned and contributed income
  • Supervises all purchasing/accounts payable entries into the accounting system
  • Supervises all cash and accounts receivable entries into the accounting system
  • Approves Tessitura batch totals and all deposits into museum bank account prepared by Accounts Clerk Specialist
  • Provides monthly pledge reports from Tessitura to TU’s finance office
  • Monitors outstanding receivables (pledges) as well as pending funds in Tessitura
  • Monitors, processes, and posts, when necessary, refunds for contributed and earned income
  • Responsible for maintaining all museum human resources records at museum
  • Responsible for maintaining museum and City of Tulsa inventory of capital assets
  • Act as liaison between the museum staff for general ledger accounts, transfer accounts, transfer of funds, changes to procedures and account/bank reconciliations
  • Provides backup assistance for Accounts Clerk Specialist
  • Standardize best practices for tracking financial information
  • Performs other duties as assigned.


Associates Degree in accounting or related field and a minimum of two (2) years’ experience in accounting; proficient in PC or Mac software applications, including Word, Excel, and Outlook.


Bachelor’s Degree in Accounting or five (5) years’ accounting experience preferred. Nonprofit accounting or museum accounting experience preferred. Experience with automated accounting systems strongly preferred, especially TU’s DataTel or Tessitura software. Experience processing credit card payments and reviewing transaction reports or ImageNow software beneficial.                                                

Primarily indoors. Hours are Monday – Friday, 8:00 a.m. until 5:00 p.m.; may be required to work evenings or weekends due to special events scheduling.
