Gilcrease Museum – Application Deadline: Open until filled

The Archivist reports to the Associate Director of the Helmerich Center for American Research and is responsible for facilitating access to, executing collections care policies for and daily management of the Gilcrease Museum archives and manuscripts collection. The Archivist will care for the contents of the archive and assist with research, exhibition planning, reporting, and creative projects.

Position Description:
The Archivist facilitates access to, executes collections care policies for and daily management of the Gilcrease Museum archives. Works under the direction of the Chief Conservator on executing preservation, housing, and storage of the collections. The Archivist collaborates with the Chief

Conservator, Director of Collections and Chief Registrar, Digital Curation, and Reference and Outreach Librarian to refine, implement, and uphold archival policies and procedures with regard to processing, documenting, cataloging, and accessing archival collections.

Major Tasks:

  • Consults with the Chief Conservator, Director of Collections and Chief Registrar and advises in the creation, development, and implementation of collections management policies; archives procedures; procedures manual including handling; finding aids, archive goals, and preservation planning.
  • Collaborates with the Director of Digital Collections and Digital Curation department team to provide digital access to researchers, educators, students, and the public.
  • Works closely with the Digital Curation team, and the HCAR staff, to determine priorities for development of public-facing materials and to be sure that styles and standards serve experts and also the public.
  • Supports Reference and Outreach Librarian to fulfill archives access requests by internal and external researchers, VIP tours, as well as responding to archives information inquiries and requests.
  • Under the direction of the Chief Conservator, coordinates and executes the re-housing, stabilization, and move of archival collections into new or improved storage conditions.
  • Ensures accurate and up-to-date inventories, finding aids, and reconciliation of archives and records, including spot check inventories.
  • Responsible for the arrangement and description of archival collections according to recognized archives standards (DACS, EAD, Dublin Core).
  • Works with Chief Conservator to identify materials with conservation issues, coordinate treatment plans and maintain accurate records of collection materials out for treatment.
  • In conjunction with the Associate Director and Digital Curation team, maintains and refines archival catalogue records in ArchivesSpace and prioritizes processing backlog.
  • Performs archival processing by evaluating project needs, creating processing plans, determining appropriate levels of processing, setting goals, establishing timelines, and evaluating outcomes for manuscripts and institutional archives.
  • Directs and manages interns and volunteers involved in archival collections management, cataloging, and other projects.
  • Monitors and purchases archival supplies as needed.
  • Ensures current archives handling procedures are recorded and enforced.
  • Works with the Associate Director in preparation of proposals, reports, and other associated documents.
  • Acts as an enthusiastic advocate and personal representative for the archive in the community by promoting its resources, programs, and services.

Required Qualifications:

  • ALA -accredited MLS or MLIS in Library Science with formal training in archives management and preservation or commensurate experience.
  • Three years or more of archives and special collections experience required, in a museum, tribal museum or cultural center, historical society, or university.
  • Demonstrated skills in cataloging and database entry
  • Experience and training in records management related to archives and/or library special projects.
  • Experience with professional archives management software systems, especially ArchivesSpace
  • Knowledge of current and emerging library and information standards such as PBCore, Dublin Core, MODS, Encoded Archival Description, and various thesauri for cataloging.
  • Knowledge of archives preservation requirements, storage needs, and current registration procedures for archives.
  • Ability to work collaboratively across multiple departments in a complex institution.
  • Demonstrated ability to communicate, orally and in writing, with staff, collectors, vendors and others.
  • Strong organizational skills and attention to detail.
  • Familiarity with Microsoft Office suite
  • Ability to work independently, as well as part of a team.

Preferred Qualifications:

  • Experience handling large, complex, and fragile collection items
  • Knowledge of and interest in Native American history, the American West, Latin American history, and/or Tulsa and Oklahoma history. Spanish language skills are a plus.
  • Up-to-date knowledge of professional standards and trends.
  • Experience working with a Paper Conservator.

Physical Demands:
Dexterity to perform repetitive keyboard and data entry functions, occasional lifting, carrying, pushing, climbing on ladder, and pulling up to 25 pounds. May be subject to extended periods of walking, standing, sitting and reaching.
