Position Overview
Philbrook Museum of Art is seeking a full-time Development Assistant, Membership. This position is responsible for ensuring accurate gift processing and maximizing membership growth for the museum. The membership assistant will provide proactive and responsive customer service support to ensure member satisfaction and retention. This position if considered full-time at 35 hours weekly with an excellent benefits package provided including, medical, dental, vision, PTO, and other ancillary benefits provided.

Responsibilities

  • Gift Processing:  In accordance with procedures set by the Development Officer of Membership, process membership contributions, create acknowledgement letters as appropriate; route for review and signature, and mail in timely manner. Prepare tangible benefits for member mailings and ensure accuracy of member records and mailings.
  • Member Renewal: In accordance with procedures, prepare mailings for member renewals; call new and lapsed members as part of the renewal process.
  • Customer Service:  Answer and return calls and emails from members; resolve customer service report for online membership contributions; ensure accuracy of data entry and application of memberships.
  • Events and Sales: Attend Philbrook main campus and/or offsite events to promote and sell memberships. Provide proactive customer service at Philbrook events as needed.
  • Administrative Support:  Provide support to the Membership team as needed; manage membership materials and stock requests.
  • Maintain prompt and reliable attendance to successfully perform duties of the job.

Required Qualifications

  • Exceptional customer service and communication skills; both written and verbal
  • Ability to interact with a diverse population in a helpful, friendly, and professional manner
  • Strong organizational skills and attention to detail
  • Strong typing and data entry skills; literacy in Microsoft Office Suite
  • Strong problem-solving skills
  • Must be available to work Friday evenings and Saturday mornings. Monday – Friday scheduling is flexible.

Education/Experience

  • High school diploma or equivalent; Bachelor’s degree preferred
  • One year experience in office environment required; experience in retail sales preferred
  • Experience in a non-profit setting with donor database knowledge preferred
