DEVELOPMENT MANAGER POSITION DESCRIPTION:
Oklahoma Railway Museum is a 501c3 Non-Profit organization. This position will work closely with supporters, the Board of trustees, and all staff. They will lead and expand fundraising efforts, meet or exceed fundraising goals, launch the next phase of ORM’s growth, creating and implementing a capital campaign, overseeing donor cultivation, stewardship, and retention, submission of grants, as well as events and projects. This position will also assist with creating and managing our marketing, public relations, advertising, and other communication efforts.

Position Qualifications
DEVELOPMENT - GRANTS AND PROPOSALS, INDIVIDUAL GIVING, EVENT SPONSORSHIP:

  • Implement, monitor and assess capital campaigns that ensures the organizations expansion goals are achieved.
  • Research, calendar and prepare grant proposals for federal and state agencies, corporations, foundations, service clubs and individuals.
  • Manage and write letters of interest/inquiry (LOI's), interim reports and final reports. Work with the leadership team to gain knowledge and information supporting the grant request.
  • Coordinate fundraising solicitation appointments for in-person meetings that may include the President and Board of Trustee members.
  • In partnership with the President, prepare for and attend solicitation appointments.
  • Coordinate all fundraising activities.
  • Act as liaison to the Expansion Committee including the preparation of correspondence, agendas, schedules and minutes for all committee meetings.
  • Coordinate the logistics for special events and projects.
  • Develop and maintain an ongoing relationship with donors, sponsors, volunteers, members, community leaders, and business owners.
  • Advocate for and promote Oklahoma Railway Museum to the community and donors through speaking engagements and presentations.
  • Provide monthly statistical reports on donations and client services.
  • Develop collateral materials required for presentations in fundraising efforts.

STEWARDSHIP AND ACKNOWLEDGEMENT:

  • Oversee all acknowledgement materials for contributions and gifts.
  • Manage all charitable contribution letters.
  • Schedule and attend follow-up meetings with donors in partnership with the President and/or Board of Trustees members.
  • Maintain and oversee the donor database in relation to monetary donations, in-kind donations, grants (received and declined) and asks, ensuring up to date accurate information at all times.
  • Develop and maintain an annual stewardship calendar.

FUNDRAISING EVENT COORDINATION:

  • Oversee and develop fundraising events for the Oklahoma Railway Museum.
  • Maintain all timelines for events and manage projects related to fundraising events.
  • Manage all vendor relationships, logistics and other needs for fundraising events.
  • Act as liaison to the various event and program committees including the preparation of correspondence, agendas, schedules, and minutes for all meetings.

ADMINISTRATION AND OTHER DUTIES:

  • Provide reports as requested by the President, Board of Trustees, and committees.
  • Maintain professionalism, organizational standards and confidentiality as a representative of Oklahoma Railway Museum to all donors and key stakeholders.
  • Ability to travel and attend evening meetings/events, occasionally.
  • Provide general administrative functions such as expense reporting, budget oversight, attendance at scheduled meetings, and as a liaison to museum staff, committees, and the Board of Trustees as it relates to fundraising activities.
  • Other duties as assigned.
  • EDUCATION & EXPERIENCE:
  • Bachelor’s degree in related field.
  • Three to five years of experience as a development professional in a museum or Non-Profit organization.
  • Knowledge of fundraising management.
  • Knowledge of event planning and management.

  • Exceptional planning and coordination skills.
  • Excellent public speaking skills.
  • Excellent written and verbal communication skills - comfortable working with diverse populations and knowledge of a wide subject matter.
  • Engaging and passionate – must be able to promote the museum mission and get people excited and involved with the Oklahoma Railway Museum.

  • Ability to travel, as needed – less than 15% of working time and typically fewer than 20 miles.
  • Ability to work occasional evenings and weekends to support events, if needed.
  • Physical effort/lifting requirements – up to 25 lbs., for lifting supplies and materials, as needed.
  • Technology proficiency in Microsoft products (Word, Excel, PowerPoint, Outlook), fundraising software, WordPress, on-line surveys, electronic newsletters and email solicitations.

Position Reporting
This position reports to the President and Board of Trustees. This position will also work closely with the Museum Administrator.

Hours and Salary
40-hour work week, salary commensurate with experience.

Salary
Salary is dependent on experience. A range of $55,000 to $80,000 has been approved by the Board of Trustees.
