Position Overview
The Development Officer, Events is primarily responsible for design, coordination, and execution of successful development and donor events as assigned to enhance the operational budget of the organization. This position will also manage a portfolio of donors related to events. The successful candidate must maintain prompt and reliable attendance to successfully perform the essential duties of the job.

Essential Responsibilities
Project Management: 

  • In coordination with Development Team members, project manage development events including, but not limited to, member openings, donor engagement events, and portions of fundraising events. 
  • Manages collection of live auction packages for museum events.  
  • Collaborates with the Business Office to track expenses and maintain documentation for quotes and invoices. 

Relationship Management

  • Develops vendor, community, and corporate relationships related to development events. 
  • Acts as main contact between Philbrook and vendors, volunteers, and event partners related to development events. 
  • Coordinates with local businesses to offer small revenue generating partnerships. 

Event Implementation

  • Ensures deliveries and setup are on schedule for events. 
  • Conducts pre-event walk through with staff leads. 
  • Attends events and ensure museum policies are enforced and event plans are implemented. 

Equivalent Education/Experience

  • Bachelor’s degree in Business Administration, Hotel and Restaurant Management, Public Relations related area, or an equivalent combination of education, training, and experience is required.
  • Minimum of one year of successful experience in event planning/execution required.


  • Proven skill and proficiency in the development and implementation of special events to support organizational growth
  • Exceptional interpersonal skills with the ability to develop rapport, as well as build and maintain relationships with donors, trustees, museum members, volunteers and staff
  • Excellent oral and written communication skills, with the ability to prepare and deliver concise, understandable, and effective letters, proposal, reports, and presentations
  • Advanced skills in researching and identifying vendors and prospective in-kind donors.
  • Intermediate problem solving and project leadership skills.
