Donor Services Specialist

POSITION SUMMARY:
The Donor Services Specialist is responsible for all aspects of data entry, record accuracy and gift fulfillment for donors at all levels, conducts database queries and generates reports for multiple needs, supports enhanced organizational use of Tessitura software system and serves as the primary point of contact for donor services issues. The position reports to the Senior Director of Development and oversees gift receipting, ensures database accuracy, and plays a key role in financial controls.

CHARACTERISTIC DUTIES:
Performs data entry, maintains constituent records, coordinates all aspects of donor fulfillment including generation of gift acknowledgements, tax receipting, membership cards, benefits administration, etc. Similarly supports earned revenue/retail transactions via ticketing for programs and events; supports supervisor in system administration as required. Develops proficiency in Tessitura system functionality, assists with report generation and general database management. Proactively maintains database by performing routine corrections, maintains procedural documentation; supports efforts to broaden system use and proficiency throughout organization. Meets weekly with development department staff, creates meeting agendas and coordinates calendars, maintains department and donor files assuring accuracy and completeness. In collaboration with staff, supports mailing projects including monthly membership renewal process; execution of special events, development of grant proposals, and provides superior service to internal and external constituents. Performs other duties as requested.

MINIMUM QUALIFICATIONS:
Bachelor’s degree in marketing, communications, business or related field; two years or more of comprehensive database experience; proficiency in gift processing (entry to fulfillment), superior analytical and organizational skills, exacting attention to detail and accuracy; excellent interpersonal communication and writing skills; service-oriented personality with ability to creatively solve problems; professional and courteous representation of Gilcrease Museum and managing partner, The University of Tulsa; proficient in PC or Mac software applications, including Word, Excel, Outlook and virtual platforms; ability to work nights and weekends as required.

PREFERRED QUALIFICATIONS:
Three or more years of experience in data base management/administration and gift processing, familiarity with Tessitura platform, Blackbaud’s Raiser’s Edge or similar CRM system, background in IS training for an array of users.
