Job Description
MUSEUM ASSISTANT REGISTRAR 

Function: Assists the Chief Registrar in the documentation, maintenance, transportation, and exhibition of the Museum’s art collection and loans. 

Representative Duties:

  • Assists Chief Registrar in maintaining and updating all records (both paper and digital) pertinent to the museum’s collections, including campus loans, conditions, location, exhibition, and publication records, and insurance values. 
  • Conducts periodic collection inventories. 
  • Supervises campus loans.
  • Alongside the Chief Registrar, helps to create condition reports and other loan and accession related documentation.
  • Supervises visitors and volunteers in vault areas.
  • Supervises the internal works on paper rotations.
  • Assists preparation staff in the installation and deinstallation of exhibitions. 
  • Formats, edits, and executes exhibition labels for internal exhibitions.
  • Keeps current with AAM Best Practices, and with international, national, and state laws concerning museum procedure and collections management. 
  • Monitors IPM and maintains cleanliness of vault areas. 
  • Couriers artwork as needed.
  • Assists in coordinating photography and artwork scanning as assigned by the Chief Registrar. 
  • Using FileMaker Pro, able to create registrar related documentation, such as Deeds of Gifts, Loans, and other necessary paperwork.
  • Packs and unpacks artwork.
  • Tags, catalogs, and houses artwork in collection storage.
  • Implements and monitors approved collection policies. 
  • Assists in development and revision of policies. 
  • Helps with special projects such as storage and database improvements.
  • Supervises the training of collections interns and volunteers as needed.
  • Performs related duties as assigned. 

Job Requirements
Required Education: Bachelor Degree or an equivalent combination of education/job related experience, AND:

  • 0 to 24 months museum experience.

Skills:

  • Highly organized and able to handle multiple projects and deadlines.
  • Able to work well with interdepartmental teams and initiatives.
  • Knowledge in the area of art handling and installation.
  • Knowledge of current museum registration practices.
  • Excellent communication skills, high attention to detail and ability to be flexible.

Certifications: Valid driver's license to drive university vehicles.

Advertised Physical Requirements: Must be able to lift heavy objects, climb, push, pull, reach, stand, engage in repetitive motions, grasp, move, feel, touch, communicate, hear and see including color, depth perception and clarity.

Departmental Preferences:

  • BA in art, art history, or museum studies.
  • At least one year of museum registration experience as an intern and/or staff member.

Supervision: Student or volunteer group as needed.
