History
Since 1970, the Norman Firehouse Art Center, Inc., a non-profit organization, has served Norman and surrounding communities with visual art classes and gallery exhibitions of the highest quality. Our faculty provides instruction in painting and drawing, jewelry construction, fused and slumped glass and more, in well-equipped classrooms.

Position Description
The Programs Coordinator, a full-time salaried position, supports the organization’s mission through the management of Firehouse Programs. This includes managing quarterly schedules for the organization, acting as liaison with faculty, implementing administrative procedures for educational programs, curriculum development, and acting as liaison to other organizations and individuals as needed for outreach activities.

Education & Experience

  • Bachelor’s degree or higher
  • 3 – 4 years of experience working in an administrative position
  • Experience working in arts education and curriculum/programs development
  • Previous experience working in the non-profit field is a plus.
  • Previous fundraising and visual arts grant writing experience is a plus.

Position Qualifications

  • Community-minded, interested in the arts in Norman.
  • A professional and pleasant presentation and manner, excellent communication and interpersonal skills, and able to work with people with a variety of personalities and skill levels.
  • Excellent written communication skills, proficient in the rules of composition and grammar, word processing and spreadsheet programs, and familiar with general administrative procedures and records management. These skills are required to prepare class schedules, curriculum, grant reporting, presentations, printed materials, and promotional materials.
  • Able to be flexible, self-directed, organized, to work within a team framework, to work collaboratively with the Executive Director, to prioritize and handle stressful and time-sensitive situations, and to multi-task.
  • Familiar with social media platforms, able to coordinate social media and marketing activities for the organization within the established brand and voice of the organization.
  • Experienced in planning and executing outreach events and has retail and customer service experience. Successful candidate will be able to efficiently coordinate the Firehouse arts education presence at community events.
  • Must hold a valid driver’s license and must be able to drive a vehicle to various locations across the metro area. Must be able to lift up to 40 pounds, bend, and lift items. Requires some physical labor and cleaning.

Schedule

  • Monday - Friday 9:30 AM – 5:30 PM
  • Weekend and evening hours required for gallery exhibition receptions and community events

Essential Duties & Responsibilities
Work collaboratively with the Executive Director to:

  • Establish objectives and priorities, monitor progress of activities, and problem-solve issues with programming/ class processes.
  • Manage the day-to-day activities associated with programs, including classes, workshops, registration, events/ outreach, and general communication.
  • Establish and maintain calendar for Educational Programs under supervision of Executive Director, communicate expectations and deadlines to faculty, staff, and design team to ensure successful launch of class schedule.
  • Assisting with the development and implementation of new programs and partnerships. 
  • Communicate process and deadlines with faculty, create call for submissions in Submittable, process and archive submissions on server.
  • Build out schedule in Jackrabbit – the online platform used for enrollment and correspondence with students.
  • Process and monitor enrollment numbers; share this information with faculty, staff, and students.
  • Work with contracted accountant to coordinate all financial tuition/ registration transactions and review financial statements.
  • Maintain the programming calendar, including classes, registration, outreach events.
  • Prepare the Firehouse classrooms, materials, and logistics.
  • Compile data for grant applications and reports as needed.
  • Coordinate membership and database. Ensure members are receiving benefits.
  • Coordinate social media and marketing activities for class promotion within the established brand and voice of the organization.
  • Manage inventory and ordering of classroom supplies; maintain records of orders.
  • Monitor organization’s website and social media for current information.
  • Monitor incoming correspondence; respond to program inquiries and requests.
  • Prepare a variety of documents using word processing, spreadsheet, database, or presentation software.
  • Be tactful and courteous in dealing with community stakeholders, including Firehouse Board, staff, faculty, granting organizations, corporate sponsors, donors, members, students, the City of Norman, etc.
  • Other duties that may include accounts payable and receivable; bank deposits; managing correspondence to members and donor management.

Salary & Benefits
$35,000 - $40,000 a year commensurate with experience: Health, dental, and vision coverage.
